Frequently Asked Questions
Everything you
might be wondering.
And if what you're wondering isn't here, do just ask — we'd much rather you did.
Before you book
What ages are Royal Guild experiences best suited to?
Most experiences are designed for children around ages three to ten, though this varies by character and experience. We're always happy to recommend the best fit for your child's age and personality.
How far in advance should I book?
As early as possible, especially for weekends, school holidays and popular characters. Last-minute enquiries are always welcome and we'll do our best where availability allows.
Can I request a character you don't currently list?
Yes. Our guild grows steadily and not every character we may be able to offer appears online. With enough notice, we may be able to source suitable costuming, prepare the character properly and consider adding them to the guild.
Can I book two characters?
Selected duo experiences are available by enquiry. They're limited, offered on a small number of dates each season, and quoted individually based on the character combination, location and duration. We are aiming to expand our guild and eventually, in the future, offer multiple characters for bespoke events.
Do you offer experiences for boys as well?
Absolutely. Our experiences are for any child who loves the character, story or world.
Can siblings join in?
Yes. Royal Visits can be designed for siblings, and siblings are very welcome to take part in our Royal Celebration party experiences like any other guest.
Can I book Royal Guild for a school, business or public event?
Yes. Royal Appearances covers schools, libraries, councils, shopping centres, corporate family days and public events. These are quoted individually.
Your experience
What happens during a Royal Celebration?
Every celebration is shaped around the chosen character. Depending on the booking, this may include a grand entrance, storytelling, performance, character-led activities, dancing, photographs, cake time and our Royal Coronation Ceremony.
Do all characters do the same activities?
No — intentionally. We want every character to feel authentic to their own world and personality.
Belle may focus more on storytelling and dancing, Alice on curious games and tea-party play, Ariel on bubbles and ocean-inspired movement, and Barbie on glam, posing and sparkle.
Why don't you list every activity included?
Because no two characters — or children — are exactly alike. We prefer to curate each experience around the character, age group and celebration rather than promise the same formula every time.
Can you join activities we already have planned?
Usually, yes. If you have a tea party, picnic, pass the parcel, craft or another activity planned, let us know when enquiring so we can discuss whether it suits the character, timing and flow of your celebration.
Do you sing?
Where appropriate to the character and the booking, musical moments and sing-along segments may be included. Exact performance content varies by character.
Do you cut the cake?
We're happy to join the cake moment, lead Happy Birthday and pose for photographs, but the host remains responsible for serving and handling food unless otherwise agreed.
Can parents take photos?
Absolutely, and we encourage it. Unless a photographer is specifically included, photography remains the responsibility of the host and guests.
Will photos of my child appear on your social media?
Only with your written permission, and never by default. If we'd love to share something, we'll ask. You're always welcome to say no, and it makes no difference to anything.
What space do you need?
A clear area for the character to perform and gather the children, plus somewhere private to arrive and prepare if needed. We'll confirm the details with you beforehand — most homes and venues work perfectly well. We do ask for a shaded or undercover space. Our gowns and wigs aren't built for direct Australian sun, or rainy weather, and neither is anyone wearing them.
Safety & supervision
Are your performers Working With Children Checked?
Yes. Royal Guild performers hold relevant Working With Children Checks, and the business maintains appropriate insurance. Details are available on request.
Does a parent need to stay present?
Yes. A parent, guardian or responsible supervising adult must remain present throughout all private experiences.
Do you provide childcare or supervision?
No. Royal Guild provides character entertainment and experiences only. Parents and guardians remain responsible for supervising children at all times.
Can your performers pick up or hold my child or baby?
For safety, our performers do not lift, carry or hold children or babies. Hugs, hand-holding and other age-appropriate interaction may occur where the child is comfortable and the interaction is appropriate.
Can a child sit on the performer's lap?
For safety and safeguarding reasons, we prefer children to sit beside our performers rather than on their lap.
What if my child is shy or overwhelmed?
That's completely okay, and more common than you'd think. We never force interaction. Our performers follow the child's lead and give them space to warm up at their own pace — and sometimes the warming up is the loveliest part to watch.
Can you accommodate sensory or additional needs?
Yes, wherever reasonably possible. Do tell us in advance about sensory preferences, communication needs or anything else that would help — quieter, slower, no singing, no surprises. We'd much rather know beforehand and shape the experience around your child.
Travel, weather & logistics
Where are you based?
Royal Guild is based in Sydney and services the greater Sydney region.
Do you charge travel fees?
Some locations may attract a travel fee depending on distance, travel time, tolls, parking and booking requirements. Any applicable fee is confirmed before booking — never afterwards.
Do you travel interstate?
Potentially, yes. Interstate and destination appearances are considered individually. Do ask.
What should I prepare before the character arrives?
Suitable parking and access, a clear entrance route, an appropriate performance area and any relevant event details should be arranged in advance. We'll go through all of this with you beforehand.
Can the experience be outdoors?
Yes, weather permitting. Outdoor bookings require a suitable shaded or undercover area, and we may need to adjust or relocate the performance in extreme heat, rain or unsafe conditions. Costuming and wigs are not built for direct summer sun.
What if it rains?
A wet-weather alternative should be available for outdoor bookings. If conditions make the event unsafe or unsuitable, we'll work with you in accordance with the booking terms.
Do you need access to power or speakers?
Only for some experiences. Any technical requirements are confirmed in advance.
Payments, changes & policies
How do I secure my booking?
A 50% deposit secures your date and character. The remaining balance is due prior to the event in accordance with your booking confirmation.
Is the deposit refundable?
Full cancellation and refund terms are set out in your booking agreement, which we provide before any booking is confirmed. If your circumstances change, do talk to us — we'll always try to find a way forward.
What happens if I need to change the date?
We aim to be flexible where possible, subject to performer and character availability. Rescheduling terms are outlined in your booking agreement.
What if Royal Guild needs to change the performer or costume?
While we aim to provide the performer and costuming represented at the time of booking, unforeseen circumstances can occasionally require a change. Where this occurs, we will provide the closest suitable alternative available and communicate with you as soon as reasonably possible.
What if the party runs late?
Your booking reserves a specific window of time, and we plan our day around it. If the celebration runs behind, we'll do everything we reasonably can to keep the experience whole — but where a later booking follows, performance time may be reduced rather than extended.
The easiest way to avoid this is to schedule the character to arrive a little after guests, rather than at the same moment.
Can I extend the experience on the day?
Only where availability permits and an additional fee is agreed at the time. We'd love to stay longer when we can, but we can't keep another family waiting.
What happens if a child or guest behaves unsafely?
Royal Guild reserves the right to pause or end an experience where behaviour becomes unsafe, aggressive or inappropriate towards our performers or other children. This is rare, and we'd always speak with you first.
About Royal Guild
What makes Royal Guild different?
Royal Guild experiences are designed around the character rather than a standard activity checklist. Our focus is on authentic interaction, beautiful costuming, thoughtful storytelling and creating moments that feel genuinely believable to a child.
A great deal of our attention goes into costuming, wigs and character detail — because children notice everything, and it's the difference between someone in a costume and the character herself walking through the door.
Can I request a character who isn't in the guild yet?
Always worth asking. Some characters we haven't added yet because we believe they're best played by performers who can represent them authentically, and we'd rather take our time finding the right person than simply fill a costume.
Still wondering something?
Ask us. There's no such thing as a silly question when it's your child's celebration.
