Privacy Policy
Royal Guild Entertainment respects the privacy of the families, children, clients, performers and organisations we work with.
This Privacy Policy explains what information we may collect, why we collect it, how we use it and the choices available to you.
OneInformation we may collect
Depending on how you interact with Royal Guild, we may collect information such as your name, email address, telephone number, billing information, event date and location, booking history and correspondence with us.
For children's experiences, a parent or guardian may voluntarily provide details such as a child's first name, age, favourite character, interests or information intended to help us personalise their experience.
We may also receive information about accessibility, communication or sensory requirements where a parent or guardian chooses to provide it.
We only ask for information that is reasonably relevant to providing or administering the experience.
TwoInformation about children
Royal Guild's services are primarily booked by adults on behalf of children.
We do not intend for young children to independently provide personal information to us through the website.
Information about a child should be supplied by their parent, guardian or an authorised adult.
Where information about a child's health, disability, sensory needs or other sensitive circumstances is voluntarily provided, we will seek to use it only for the purpose for which it was provided and handle it with particular care.
ThreeHow we use information
We may use personal information to respond to enquiries, prepare quotations, administer bookings, process payments, communicate about upcoming events, personalise character interactions, coordinate performers, manage travel and logistics, provide requested digital products, maintain business records, respond to complaints, improve our services and — where appropriate consent or another lawful basis exists — communicate relevant Royal Guild news or offers.
Information supplied specifically to personalise an experience is not intended to be used for unrelated advertising purposes.
FourPersonalisation
Parents may choose to tell us things that help make a visit feel more special — for example, a child's favourite story, hobby or recent achievement.
A performer may use those details during the booked experience. For example, a princess might mention that she has heard the birthday child loves reading or recently learned to dance.
Providing this information is entirely optional.
FivePhotographs & video
Photographs and video involving children require particular care.
Booking Royal Guild does not automatically give Royal Guild permission to use identifiable images of your child for advertising or marketing.
Where we wish to capture or use identifiable photographs or footage for promotional purposes, we will seek appropriate permission.
Consent may be withdrawn for future use by contacting us, although we may not always be able to remove material already lawfully printed, distributed or otherwise irreversibly published.
SixWebsite & technical information
When you visit our website, limited technical information may be collected automatically through the website platform or services we use.
This may include browser type, device information, approximate location based on IP address, pages viewed, referral source and interactions with the website.
Cookies or similar technologies may also be used to support website functionality and, where enabled, analytics or advertising.
SevenMailing list & marketing
If you choose to join the Royal List, we may use the contact details you provide to send news, new-character announcements, seasonal experiences and other Royal Guild updates.
You may unsubscribe at any time using the unsubscribe option provided or by contacting us.
Booking an experience does not require joining our mailing list.
EightPayments
Payments may be processed through third-party payment providers or financial institutions.
Royal Guild may receive confirmation of payment and relevant transaction information but does not necessarily receive or retain complete card details.
Payment providers handle information according to their own privacy and security practices.
NineService providers
We may use trusted third parties to help operate Royal Guild, such as website hosting providers, email and mailing-list platforms, booking or customer-management systems, payment processors, accounting software, cloud-storage providers, analytics providers and professional advisers.
These providers may only require access to information reasonably necessary to perform their services.
Some providers may store or process information outside Australia.
TenSharing information
Royal Guild does not sell customer or children's personal information.
We may disclose information where reasonably necessary to provide the booked service — for example, to an assigned Royal Guild performer who needs the child's name and relevant event details.
We may also disclose information where required or authorised by law, to protect the safety of a child or another person, to professional advisers where reasonably necessary, or with your consent.
ElevenStorage & security
We take reasonable steps to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure.
Information may be held through secure digital systems, email accounts, booking systems, accounting software and other business records.
No electronic system can be guaranteed completely secure, but we aim to limit access to those who reasonably require the information.
TwelveHow long we keep information
Information is retained only for as long as reasonably necessary for the purpose for which it was collected, our legitimate business and record-keeping requirements, dispute management and applicable legal or taxation obligations.
Personalisation information about children that is no longer reasonably required is not retained indefinitely simply because it was collected for a previous celebration.
ThirteenAccess & correction
You may contact us if you would like to ask what personal information we hold about you, request a correction or raise a concern about how information has been handled.
Where appropriate and legally permitted, we will take reasonable steps to respond.
FourteenChildren's privacy requests
A parent or legal guardian may contact Royal Guild regarding personal information relating to their child.
We may request reasonable information to confirm authority before disclosing, changing or deleting information.
FifteenThird-party websites
Our website may contain links to external websites or social-media platforms.
Royal Guild is not responsible for the privacy practices of third-party websites and encourages visitors to review their policies separately.
SixteenChanges to this policy
We may update this Privacy Policy as Royal Guild grows, technology changes or our legal obligations evolve.
The current version will be published on our website with its most recent update date.
